Project Coordinator

This role reports to the Project Director on the business. Location: Toronto

Role Summary:

As a Project Coordinator, you will be immersed in both the Account Management and Project Management teams, thereby exposed to two different but equally rewarding career streams. Excellent customer service, communication skills and attention to detail are required. While the responsibilities will be focused on managing project initiatives, the Project Coordinator must possess the ability to work and communicate effectively with the various team disciplines.

Role Responsibilities:

  • Fulfill daily client requests ensuring that all projects assigned are executed to plan
    Keep Project Management team updated on the status of account activities
  • Work with team on development and execution of project plans
  • Manage deadlines and budget
  • Plan, coordinate and participate in meetings as requested, including scheduling and communication, maintaining information and preparing and distributing materials, taking minutes and following up on action items
  • Accountable for Status Reports
  • Handle project coordination for the department, including scheduling, assisting with presentations, reports and correspondence, monitoring budgets, producing monthly reports, developing presenta tions as well as special projects as assigned
  • Ongoing maintenance of the billing and budgeting process, ensuring all budget reports are accurate and up to date
  • Assist in maintaining client relationships
  • Learn how to approach account and project management from a strategic business perspective
  • Administrative support for Directors & Project Management Team
  • Process purchase requisitions and invoices for the department
  • Learn to independently drive and manage tasks with the ability to ask appropriate details
  • Assist the Account team and Project Managers in managing entire project lifecycles
  • Lean how to independently manage small project and client relationships
  • Work with senior project leads to define the overall scope of projects
  • Develop professional and respectful relationships with people at all levels
  • Assist with building a positive and collaborative agency culture

Required Qualifications:

  • Post-secondary degree or diploma
  • Excellent knowledge of PowerPoint, Excel, Microsoft Word and Outlook is essential – knowledge of Microsoft Project would be an asset
  • Time management and priority management skills necessary
  • Superior written/oral communication skills
  • Agency experience and asset – client service orientation essential
  • Ability to work effectively and independently, multi-task and stay organized under pressure is required
    Ability to present complex ideas in a clear, concise fashion to technical and non-technical audiences
